This document governs the policy applied by the Fundacja Polski Instytut Transportu Drogowego with its registered office in Wrocław at Racławicka 2‑4, entered into the register of entrepreneurs of the National Court Register maintained by the District Court for Wrocław – Fabryczna in Wrocław, VI Economic Division of the National Court Register, under the number KRS: 0000698738, NIP: 8961573178, REGON: 368497165 (hereinafter: the Administrator), with regard to the protection of personal data of users (understood as any natural person whose personal data will be processed by the Administrator) and information that may constitute trade secrets of users.

This policy applies to the services offered by the Administrator via the website https://trans.info/en. The above policy does not cover websites and services of third parties to which access can be obtained via links located on the aforementioned website. Detailed information regarding the protection of personal data is available from each of the service providers separately. The Administrator recommends that users each time read the relevant documents on the service providers’ websites.

Data we collect

In order to fully use the services and products of the Administrator, the User may create an account or log in to the Service.

To use the services and products offered by the Administrator, it is necessary to register an account through the form made available on the website. During registration, the following data must be provided: first and last name, company name, e‑mail address. During login the User provides the following data: login and password. In addition, the User may supplement the profile operating within their account with other additional data.

The Administrator notes that the User may use the option to log in using an account previously created on the Trans.eu Platform, on the social portal Facebook, Google+ and others that will be integrated with the Service. In such a case, the Administrator processes the personal data of the User provided in the account registration form or retrieves from the User’s account on the aforementioned portals the personal data necessary for the registration and servicing of the account.

When the User uses other services and products of the Administrator, sometimes via dedicated forms made available, the User may provide other data, such as telephone number, tax identification number (NIP), etc.

Providing data is voluntary, however it is necessary for the provision of the service and for contact with the Administrator. In the event that the necessary information is not provided to the Administrator, the Administrator will not be able to perform and conduct the service.

Some data are also collected passively, i.e., through the use of the site (e.g., IP address, resolution, location, type of browser).

Use of data

Users’ personal data will be processed:

  • for the purpose of providing the Service to the User, i.e., performing the contract concluded between the User and the Administrator or for the purpose of actions taken prior to concluding the contract (Art. 6(1)(b) GDPR);
  • if necessary, for purposes arising from the legitimate interests pursued by the Administrator or a third party (Art. 6(1)(f) GDPR), including: servicing the User, responding to inquiries/complaints, sending the Administrator’s informational bulletin regarding changes in software, the Service Regulations and other Administrator documents (not constituting commercial information), etc., for the purpose of ensuring IT security of the Administrator; for assessing customer satisfaction, preparing and organizing conferences and events, pursuing claims and defending against claims, in direct marketing of products and services of the Administrator and entities in the Trans.eu group(*), as well as other entities for whom the Administrator provides services under separate agreements, for internal administrative purposes of the Administrator, such as preparing statistics, analyses, e.g., ways of using the site, User preferences;
  • on the basis of your consent (Art. 6(1)(a) GDPR), granted for specified purposes (e.g., to provide the User with information about services (e.g., webinars)/newsletter, if the User expresses interest, or transmitting data within the Trans.eu group).

If the User has given such consent, the Administrator sends information about current and future products and services of the Administrator and entities from the Group via the Service or by e‑mail in the form of informational or advertising campaigns.

The User may opt out of receiving such content by sending a message to redakcja@trans.info (so‑called withdrawal of consent to receive commercial information). With regard to personal data, withdrawal of consent is possible at any time, however it does not affect the processing of personal data before its withdrawal.

Recipients of personal data

Data may be shared with other recipients in order to perform the contract with you, to perform a legal obligation incumbent on the Administrator, based on your consent, or for purposes arising from the legitimate interests of the Administrator or a third party.

Recipients may include in particular: entities from the Trans.eu capital group(*), institutions legally authorized to receive your data based on relevant legal provisions (e.g., law enforcement authorities or the judiciary), as well as entities processing data on behalf of the Administrator and their authorized employees, provided that such entities process data on the basis of an agreement with the Administrator and exclusively in accordance with instructions and subject to confidentiality. Entities performing tasks on behalf of and for the benefit of the Administrator include, inter alia, entities providing services necessary to ensure the technical and administrative support for the provision of services, such as IT service providers and entities managing the Service. The Administrator exercises due care in transferring data, applying measures and safeguards to prevent unauthorized persons from accessing the data (including SSL, encrypted connections).

Transfer of data outside the European Community

The level of protection of personal data outside the European Economic Area (EEA) may differ from that provided by European law. With this in mind, the Administrator transfers personal data outside the EEA only when it is necessary. In the case of such transfer, the Administrator ensures an appropriate level of personal data protection primarily by:

a. transferring personal data to countries for which a European Commission decision has been issued recognizing that country as providing an adequate level of personal data protection;
b. applying the standard contractual clauses issued by the European Commission;
c. using other appropriate safeguards.

Rights of the data subject

The User has the right to access their personal data, as well as to request their rectification, restriction of processing or deletion, withdrawal of consent to data processing at any time to the extent that the consent relates to such processing, as well as data portability.

The User has the right to lodge a complaint with a supervisory authority, which in the Republic of Poland is the President of the Personal Data Protection Office, if the User considers that the processing of his or her data violates the GDPR.

In addition, the User has the right to object at any time to the processing of data for reasons related to your particular situation, when the Administrator processes the data for purposes arising from legitimate interests, for purposes related to direct marketing, including profiling.

After confirming the identity of the user, the Administrator shall execute the indicated rights based on an analysis of the legitimacy of the request and the applicable legal provisions. The Administrator shall make every reasonable effort to comply with User requests regarding personal data, unless such data must be retained due to applicable law or other legally justified interests of the Administrator.

Data retention period

Personal data shall be processed and stored by the Administrator for the period necessary to achieve the purposes, i.e.:

  • performing the contract concluded between the User and the Administrator – until the completion of its performance, and thereafter for the period required by legal provisions or for the realization of any claims;
  • insofar as data is processed on the basis of consent – the Administrator will process it until its withdrawal;
  • until the fulfilment of the legitimate interests of the Administrator constituting the basis of such processing or until the User objects to such processing, provided that there are no legally justified grounds for further processing of the data.

Data collected during Users’ visits to the Administrator’s website shall be processed until it becomes outdated or loses its usefulness. This applies to data processed for analytical and statistical purposes, including use of cookies and administration of the Administrator’s websites.

Cookies

The Administrator uses so‑called “cookies” to track Users’ visits to the site and record their preferences, e.g., language, login data, as well as to tailor the services offered to their needs. The aforementioned files are used to develop general statistics concerning Users’ use of the site. The files in question shall be stored until they become outdated or lose their usefulness. Cookies will not be shared with other third parties and will be transferred only to entities providing services necessary to ensure the technical support for handling the aforementioned files and entities belonging to the Trans.eu Group(*).

It is possible to disable cookies in the web browser, which will not make it impossible to use the services, but it may cause certain inconveniences, i.e., the Administrator’s website may not function fully correctly. Information regarding cookies also applies to other similar technologies used in the Service.

Managing categories of “cookies” is also possible via the “Consent” window that appears on the first visit to our website by the User. Detailed information regarding the rules of using “cookies” by the Administrator and the possibilities of adjusting them to the User’s preferences are described under the section We Care About Your Privacy, in the More Options section.

Social media sites

We inform that social media plugins may be found on the Administrator’s website, including, inter alia: Facebook, Twitter, LinkedIn, Instagram, etc. In connection with their placement on the Administrator’s website, the User is obliged to familiarize themselves with the content of the privacy policies of those providers in order to obtain up‑to‑date information regarding protection of personal data.

The Administrator processes personal data of Users visiting the Administrator’s profiles maintained on social media (e.g., Facebook, LinkedIn). Such data are processed in connection with maintaining the profile, promoting various types of events, services and products. The legal basis for the processing of personal data by the Administrator for this purpose is its legitimate interest (Art. 6(1)(f) GDPR) consisting in promoting the brand and products.

Data in Google Analytics

Traffic on the Administrator’s websites is monitored by the Google Analytics analytical system, the purpose of which is to collect data on how the sites are used and their popularity. This data (e.g., browser used or IP address) will not be shared by the Administrator with third parties.

Security

In order to ensure security, the Administrator:

  • uses SSL encryption,
  • enables access to the account only after entering login and password (it is recommended to set passwords consisting of at least 8 characters and containing uppercase and lowercase letters, special characters and digits), which the User should keep confidential;
  • controls the methods of collecting, storing and processing information, including physical security measures, to protect against unauthorized access to the system;
  • grants access to personal data only to those employees, contractors and collaborators who must have access to process them for the needs of the Administrator; moreover, by virtue of contracts, they are obliged to maintain strict confidentiality, and if data processing is entrusted – by data processing agreements.

Statement regarding the Privacy Policy

This Privacy Policy came into force on January 1, 2026. We may from time to time update the Privacy Policy to reflect changes in our practices and standards of information processing. Such modifications may take place without notifying the User of this fact. If there are any changes significantly modifying the principles of personal data processing, the User may be notified of them by e‑mail or by a notice made available on the website. Changes shall be effective from the date of their publication on https://trans.info/en/policytogether with an indication of the date of their introduction.
